Corporate Paralegal
Job Description:
We are seeking a detail-oriented and proactive Corporate Paralegal specializing in regulatory filings, licensing, and compliance to join our legal team. The Corporate Paralegal will play a crucial role in supporting the legal department, particularly in managing licensing requirements and ensuring compliance for our family office clients in a complex multi-state environment.
Duties & Responsibilities
- Assist in managing and maintaining all licensing requirements for our clients including organized up-to-date records of all licenses, permits, registrations, and filings and monitoring application, expiration and renewal dates across various jurisdictions and regulatory bodies
- Oversee all annual report filings and monitor the service of process database.
- Conduct research on regulatory requirements and licensing obligations applicable to our clients. Analyze findings and provide recommendations to ensure compliance with relevant laws and regulations
- Coordinate, prepare and submit the filings including formation and dissolution of entities, federal, state, local, contractor, and professional registrations; ensuring accuracy and timely submission to meet regulatory deadlines.
- Support clients’ insurance programs including the handling of requests for certificates of insurance and bonding requests, as well as other routine insurance requests
- Liaise with internal stakeholders, external counsel, regulatory agencies, and other third parties as necessary. Communicate updates and changes in regulatory requirements to relevant stakeholders. Support the legal team in responding to subpoenas and regulatory complaints, such as employment or OSHA claims.
- Provide administrative and organizational support to the legal team as needed, including drafting legal documents, conducting legal research, and assisting with contract management tasks.
- Provide support as needed in all aspects of mergers and acquisitions, including licensing, filings, and document organization.
- Assist in developing training materials and conducting training sessions for internal teams on licensing and compliance matters to promote awareness and understanding.
- Develop a thorough knowledge and understanding of all company business segments to better advise and provide legal, contractual, and regulatory support as well as assist in furthering business initiatives and strategies
- Support cross-functional initiatives and projects, collaborating with colleagues from other departments and the clients to achieve shared objectives. Handle various ad hoc requests from internal and external business partners as assigned.
requirements & qualifications
- Bachelor'sdegree in a related area is preferred; however, experience may be a substitute
- Minimumof three (3) years of experience in a corporate in-house legal department orlaw firm supporting corporate clients
- Experiencein one or more of the following areas, and be willing to learn as needed:regulatory, transactions, corporate compliance, or legal research
- Proficiencyin conducting legal research and analyzing statutes, regulations, and legaldocuments.
- Excellentorganizational skills and attention to detail, with the ability to managemultiple tasks and deadlines effectively.
- Strongwritten and verbal communication skills, with the ability to communicatecomplex legal concepts clearly and concisely
- Demonstratedability to collaborate effectively with colleagues at all levels of theorganization.
- Highethical standards and a commitment to upholding confidentiality andprofessionalism.
- Proficiencyin Microsoft Office Suite, specifically significant experience in formattingand editing in Word and intermediate-level Excel skills, and legal researchdatabases. Previous experience with automated records management and SharePointpreferred.
- Abilityto work with little or no supervision, through own initiative.
- Thisposition is based in our office and requires on-site presence during regularbusiness hours. Remote or hybrid work arrangements are not available for thisposition.
